Crew Scheduling
Assigning Crew
Section titled “Assigning Crew”- Open an event and go to the Crew tab
- Click Assign Crew
- Browse the crew directory, filtered by:
- Skill — Only show people with the skills you need
- Availability — Only show people available on the event date
- Rating — Sort by past performance
- Select a crew member and assign their role for the event
- They receive a notification with assignment details
Crew Roles per Event
Section titled “Crew Roles per Event”Each assignment includes:
- Role — What they’ll be doing (e.g., “FOH Sound Engineer”)
- Call time — When they need to arrive
- End time — Expected end of their shift
- Notes — Special instructions for this event
Availability Management
Section titled “Availability Management”Crew members can set their own availability in their profile:
- Available — Open for assignments
- Unavailable — Blocked out (vacation, other commitments)
- Tentative — Available but not confirmed
When you try to assign someone who’s unavailable, Producit warns you.
Scheduling Conflicts
Section titled “Scheduling Conflicts”If a crew member is already assigned to another event at the same time, Producit blocks the assignment and shows the conflict. You’ll need to resolve it before proceeding.
Notifications
Section titled “Notifications”Crew members are notified when:
- They’re assigned to an event
- Their assignment is changed or cancelled
- An event they’re assigned to is updated
- They have an upcoming call time (configurable reminder)
